The purposes of these Eligibility Requirements are: (i) to welcome and support those news correspondents who can demonstrate that they meet certain minimal conditions of subject interest and access to news channels that will enable them to share proceedings of the Congress with a wide external audience; and (ii) to ensure that the privileges of media access to the Congress are reserved for those who meet these conditions.

Media Policies and Registration Form

The World Parkinson Congress (WPC) provides complimentary registration to professional journalists representing media organizations for the purpose of gathering news and information to provide editorial coverage of the meeting.

The WPC offers the following resources to credentialed members of the media:

In order to facilitate coverage of news generated from this meeting, the WPC has established the following policies governing press activities.

Media Policies

Embargo Policy
Media are required to abide by the embargo policies governing the Congress. The embargo policy states that coverage of research being presented at the annual meeting is strictly prohibited until the start time of the presentation. For poster presentations, this would be the time that the poster session opens for viewing.

All abstracts presented at the Annual Meeting are embargoed until the beginning of the presentation containing the research including abstracts highlighted as part of the official media kit.

This policy covers all abstracts accepted as part of the WPC regardless of whether information is obtained from another source.

Eligibility requirements
To receive official approval, journalists are required to submit media credentials including official documents or a letter verifying assignment to the meeting on the letterhead of the news organization being represented.

International media representatives from non-U.S. media are required to pre-register by January 10, 2005 . On-site media registration is not available for non- U.S. media due to the need to verify media credentials in advance. International journalists are required to submit an official letter of assignment from the media organization being represented, two bylined medical articles and a copy of the publication. Registration requests by third-party organizations will not be accepted. International journalists will receive the WPC press kit on-site.

Newsletter media must submit three issues of their newsletter containing at least one bylined article. Proof of editorial freedom from funding sources will be required to establish media status for registration. (Single-sponsored newsletters are not eligible for media registration.)

Freelance journalists are required to submit two bylined medical articles and an official letter of assignment from a news organization. A copy of the publication and proof of editorial freedom from funding sources are required to establish media status for registration. (Single-sponsored publications are not eligible for media registration).

Representatives from online media, medical publishing companies and health care society, association and university publications must have appropriate media credentials and meet the following criteria:

  • Original, editorial news coverage.
  • Editorial freedom from advertisers and/or sponsors.
  • Multiple advertisers that are clearly identified.

Companies or organizations producing publications, videos and/or other electronic media intended for marketing, advertising, financial analysis or public relations purposes may not register as media. "For hire" analysts, public relations personnel, freelance writers and/or individuals from print and online promotion services without an assignment letter from an accredited news organization may not register as media.

Information regarding media registrants is proprietary. The Congress does not give, rent or sell current, past or on-site media registration lists.

Special requests related to media facilities must be made in writing no less than three weeks prior to the annual meeting and must be approved by the Congress.

WPC reserves the right to deny admission to any representative who fails to adhere to these policies or who misuses his or her media privileges to engage in activities other than journalistic pursuits.

Onsite Guidelines

Registered media are required to wear the WPC media badge at all times while on-site at the Congress. Entry into sessions requires a badge.

All scientific and educational sessions at the annual meeting are open to the media.

The Congress’s name cannot be used in news releases, which may give the appearance of endorsement, except to state: "this information was presented at the World Parkinson’s Congress, February 22-26, in Washington, DC" The WPC logo cannot be used without explicit written permission from WPC.

Media Room

The WPC will offer a fully functioning media room to file stories on-site if needed. Media credentials are required for entry to this room. Company and public relations representatives are not permitted in the media room.

All public relations and corporate representatives are expected to be respectful of reporters' needs and deadlines. Representatives may leave a message for a journalist and/or post a general announcement by providing their name, affiliation, and information to WPC’s media relations staff.

Media Kits

Companies may bring media kits for review by WPC’s media relations staff. Information included should be limited to science being presented at the meeting, fact sheets, backgrounders, etc. Institutional or corporate materials are not permitted in the media room. Media kits cannot be reviewed prior to the meeting. Media kits cannot be shipped directly to the convention center or to WPC headquarters office.

Photography/Videotaping/Audio Taping

Registered media with badges who have obtained permission through the Media Room are the only attendees permitted to audiotape sessions (except for those who have obtained written permission from the guest lecturer beforehand).

Photographing and videotaping in the Exhibit Hall is strictly prohibited; photographing, audio taping, and videotaping during sessions is only permitted with the expressed consent of WPC. To videotape other content on-site, a media representative from WPC must accompany when any videotaping occurs. To download a permission form, please click here.

Media Registration

Journalists who are employed by accredited news organizations attending the Congress for the purpose of editorial coverage will be granted media credentials.
